Privacy policy and cookies
We care about your privacy. Here we describe what personal data we collect, why, how long we keep it and what rights you have.
Data controller
Fitness Travel 100kg AB (reg. no 559181-3422), BOX 538, 291 25 Kristianstad, Sweden, is the data controller for the processing of your personal data. If you have any questions, you can reach us at info@fitness.travel.
What data we collect
- When you book: name, date of birth, gender, address, country, email and mobile number, for you and for the people you book for. Also your choices (accommodation, extras, diet), any messages to us, payments and invoices.
- Diet and allergies: if you tell us about allergies or special diets, we only use this to adapt the food during your week.
- Flights: the flight times and flight numbers you enter, so that we can plan the transfer.
- Minors: for travellers under 18 we keep a guardian’s consent form with the guardian’s name, contact details and the last four digits of the traveller’s personal identity number.
- Companies and wellness allowance: invoicing details for the company and details on wellness receipts.
- Newsletter, contact and “Get a call”: name, email, phone number and what you write to us.
- When you visit the site: technical data such as IP address and browser, and – if you consent – statistics and measurement of our ads (see Cookies below). We also store where you came to the site from (e.g. an ad or a search) together with your booking.
Why we process the data
- To carry out your trip – booking, accommodation, food, transfer, payments and contact before and during the trip. Legal basis: contract.
- To comply with the law – bookkeeping and invoices. Legal basis: legal obligation.
- Allergies and special diets – to adapt the food during your trip and save your choices for next time. Legal basis: your explicit consent when you provide the information.
- Newsletters and offers – as a customer you may receive newsletters about similar trips. You can opt out when you book and unsubscribe at any time. Legal basis: legitimate interest and consent respectively.
- Statistics and ad measurement – to improve the site and see which ads work. Legal basis: your consent via the cookie banner.
- Group trips – if you book with a group’s discount code or via the group’s link, the group leader can see your name, email, mobile number, which trip you booked and whether you have paid, so that the group can be planned. Legal basis: legitimate interest.
Who we share the data with
We never sell your personal data. We only share it when necessary:
- Our partner at Lost Villa – the data needed for accommodation, food and transfer.
- Suppliers who help us – web hosting and email (SiteGround), bank and payments, and our accounting firm and accounting software (Fortnox).
- Google and Meta – only if you have consented to statistics or marketing. When you book, we may then send the value of the booking and an encrypted (hashed) email address to Google and Meta to measure our ads.
- Authorities – when required by law.
Google and Meta may process data in the USA. The transfer is based on the EU–US Data Privacy Framework or the European Commission’s standard contractual clauses.
How long we keep the data
- Bookings: as long as needed for the trip and thereafter for guarantees and questions. Accounting records are kept for seven years in accordance with the Swedish Bookkeeping Act.
- Allergies and special diets: kept with your customer profile so you don’t have to fill them in again next time, and deleted no later than three years after your last trip – or earlier if you ask us.
- Newsletter: until you unsubscribe.
- Contact and “Get a call”: while the matter is ongoing and thereafter for no more than three years.
- Statistics: according to our settings with Google and Meta, and only if you have consented.
Your rights
You have the right to know what data we hold about you, to have errors corrected, to have data deleted when it is no longer needed, to restrict or object to the processing and to receive your data (data portability). If you have given consent, you can withdraw it at any time.
Contact info@fitness.travel. If you are unhappy with how we process your data, you can lodge a complaint with the Swedish Authority for Privacy Protection (IMY), imy.se, or the data protection authority in your country.
